Setting up billing

Currency, tax registration, numbering and payment terms — decided once, before the first invoice.

In this lesson

Decided once, before the first valuation

Before the first invoice goes out, Mostafa sets billing up once, here in the studio’s billing configuration. Get these wrong and every valuation after carries the same mistake.

The billing configuration

Currency is decided at the project — pounds for the villas, set so the numbers mean the same thing to Mostafa and to Rania’s accounts team.

The default VAT rate sits here too. Set it once and it flows onto every line, so nobody is typing fourteen per cent into an invoice by hand.

The tax registration numbers go in as well — the studio’s own TRN and the client’s — because an invoice without a TRN is not a valid invoice here.

Retention is configured the same way: a percentage held back from every valuation, until the job is handed over.

The contract, and what a change does to it

Down below, the change-order section shows the base contract, the approved variations, and the effective contract value that results.

Approve a variation and the effective value lifts on its own — Mostafa never re-totals a contract by hand.

The habit that matters

The habit: settle currency, VAT, TRNs and retention before the first valuation, not on the day of it. Decided in a hurry, it is argued about for the rest of the job.
