Every job runs on conversations. The flooring sample, the counter height, whether the client actually approved that finish. The question is only ever where those conversations live.
Each work item carries its own. This is the master suite joinery, and everything anyone has said about it is here, attached to the thing itself.

Youssef writes a note about the sample, and puts Hoda’s name in it directly.
That name is not decoration. Mentioning somebody sends them a notification, so the request reaches them without a separate message and without you having to remember to send one.
Files where the work is
Files belong on the item too. The mood board, the site photograph, the signed drawing — next to the work they describe, not in a folder somebody has to go looking for.
Attached. Whoever picks this up in three months gets the picture along with the words.

Notifications collect up here. This is your inbox for the job: what changed, what needs you, and nothing else.
This is not about tidiness. A photograph in a chat group is unfindable in six weeks. The same photograph on the work item is still there at handover, when somebody is arguing about who approved what.
The habit
So the habit. If a message is about a specific piece of work, put it on that piece of work. Chat is fine for coordinating today; it is worthless as a record, and fit-out disputes are always about the record.
